Terms of Service

Welcome to G24 Tours. By accessing our digital platforms, reserving a space on a scheduled departure, or engaging our services for a custom itinerary, you enter into a binding agreement governed by the following terms. We invite you to review these provisions with care, as they outline the mutual commitments, responsibilities, and standards that define our relationship with you.

Introduction & Scope of Agreement

G24 Tours LLC acts as an intermediary tour operator and travel coordinator specializing in curated group pilgrimages, cultural journeys, and bespoke travel itineraries worldwide. These terms establish the foundational framework governing all engagements, agreements, and interactions between G24 Tours, individual participants, and designated group leaders (collectively referred to as “Travelers”). G24 Tours reserves the right to refine or amend these terms at discretion; such modifications take effect immediately upon publication and govern all subsequent bookings, interactions, and agreements.

Bookings, Deposits & Financial Commitments

  • Registration, Initial Deposits & Availability: To secure a reservation on any journey, a non-refundable initial deposit—as outlined in the individual tour brochure—is required at the time of booking. Tour reservations remain open through subsequent milestone payment deadlines, subject to overall capacity and supplier availability. Initial deposits cover essential administrative services and account management, with reservations confirmed sequentially upon receipt of deposit.
  • Second Deposits & Milestone Windows: Where applicable, second milestone deposits due 150 days prior to departure—as detailed in your specific tour materials—are non-refundable and serve to maintain your active reservation within our reserved hotel, supplier, and group air allocations. For travelers already registered, this payment completes your second milestone; for new registrations initiated during this milestone window, the total amount due combines both the initial and second deposits to secure provisional space, subject to ongoing availability. Late milestone payments are subject to space availability, potential pricing adjustments, and allocation modifications.
  • Final Balances & Payment Windows: Final tour balances due 90 days prior to departure are to be completed by the designated deadline outlined in your booking schedule. Final registration closes at this 90-day threshold; any late registrations, delayed balance submissions, or bookings initiated within this final window are subject to ongoing availability, capacity limitations, and potential rate adjustments. Furthermore, late bookings or deferred payments may result in modified service provisions—such as alternative flight routings or adjusted site inclusions—should group allocations already be finalized with our partners.
  • Forms of Payment & Settlement: G24 Tours accepts secure electronic payments through authorized payment channels powered by Stripe, including Direct ACH Bank Transfers (via Stripe Financial Connections) and major credit/debit cards (Visa, MasterCard, Discover, American Express). All transactions are processed strictly in United States Dollars (USD).
    • ACH Bank Transfers: ACH transfers require approximately 2 to 3 business days to clear. Reservation slots, payment milestones, and early-registration credits are marked as officially confirmed only upon final bank settlement. Returned or uncollected ACH payments may incur standard processing fees and require immediate re-settlement via an alternate payment method.
    • Credit & Debit Card Processing: Card payments are processed instantly upon submission. Standard merchant credit card processing fees apply at checkout and are non-refundable.
    • Non-Refundable Milestone Policy: All initial reservation deposits and second deposit milestones represent non-refundable administrative and supplier commitments once received and cleared.
  • Pricing & Currency Fluctuations: Tour pricing is established based on projected vendor costs, currency exchange rates, and fuel surcharges at the time of publication. G24 Tours reserves the right to adjust pricing prior to final payment in the event of extraordinary economic shifts beyond our control, including significant material increases in airfares, fuel surcharges, or adverse fluctuations in foreign exchange rates.

Itineraries, Inclusions, Airfare & Accommodations

  • Tour Inclusions, Exclusions & Comprehensive Travel Packets: Specific tour inclusions and exclusions are detailed in individual tour brochures. Approximately 30 days prior to departure, fully registered participants will receive a comprehensive travel packet containing final tour details, flight itineraries, hotel directories, daily schedules, and essential local instructions.
  • Flight Arrangements & Seat Assignments: When flights are booked through G24 Tours, airfares are governed by individual carrier rules and ticketing restrictions. While we request preferred seating on your behalf and endeavor to seat travel companions together, assignments cannot be guaranteed due to airline aircraft changes. Subsequent seat modifications or specific requests may incur additional fees.
  • Land-Only / Without Airfare & Ground Transfers: Travelers selecting “Land-Only” or “Without Airfare” packages are solely responsible for booking independent flight arrangements. Land-Only travelers may join the scheduled group airport motorcoach transfers (both arrival and departure) at no additional charge, provided their flights align with the main group’s single scheduled coach departure and pick-up windows at the designated airport. Land-Only participants who arrive outside the group transfer window, arrive or depart on separate dates, or experience flight delays/cancellations that cause them to miss the group transfer are strictly responsible for securing their own ground transportation. Individual private transfers may be requested through G24 Tours up to 60 days prior to departure for an additional service fee, subject to driver availability.
  • Hotel Accommodations & Room Configurations: Accommodations are provided on a double-occupancy basis in carefully selected, centrally located four-star properties or similarly curated accommodations of equivalent quality. Travelers requesting a private room are required to pay the applicable single supplement fee at the time of booking. Roommate matching is offered as a courtesy when available, but cannot be guaranteed.
  • Baggage Allowances: Travelers are subject to the specific baggage allowances, weight limits, and piece restrictions enforced by airline carriers and motorcoach operators. Any baggage fees or incidental transport costs exceeding your designated tour inclusions remain the sole responsibility of the traveler.
  • Itineraries & Operational Modifications: While all travel itineraries are meticulously crafted in advance based on the most comprehensive information available, daily schedules, routing, and site access remain subject to adaptation due to local supplier logistics, liturgical updates, weather, or operational necessity. G24 Tours reserves the right to refine chronological flow or specific daily activities when required, always preserving the exceptional quality, coherence, and integrity of the experience.

Traveler Documentation, Advisories & Responsibilities

  • Passports, Visas & Entry Documents: For international and cross-border travel, every traveler is solely responsible for ensuring their passport is valid for at least six (6) months beyond their scheduled return date, containing sufficient blank pages, and securing any required visas, entry permits, or digital travel authorizations.
  • Travel Advisories & Awareness: Travelers are personally responsible for reviewing official government travel advisories, health notices, and entry mandates issued by destination authorities prior to departure. Booking and embarking on a journey constitutes acknowledgment and acceptance of these conditions.
  • Youth & Minor Participants: Minors under the age of 18 must be accompanied by a parent, legal guardian, or an officially designated adult chaperone. For school, youth, or institutional group travel, student participants must be supervised by authorized faculty or group leaders in accordance with established chaperone-to-student ratios. Individual unaccompanied minors traveling independently outside of an approved group structure cannot be accommodated. Special parental consent and legal authorization documentation may also be required for international or cross-border transit.
  • Physicality & Health Requirements: Curated pilgrimages and group tours involve extensive walking (often 3 to 5 miles daily) over uneven historic terrain, cobblestone streets, ancient steps, and non-ADA compliant historic sites across international destinations. Travelers are individually responsible for assessing their physical fitness and mobility prior to booking. Any participant requiring special assistance, mobility accommodations, or medical considerations must disclose this in writing during registration. G24 Tours does not provide personal care assistance, dedicated mobility escorts, or private wheelchair pushers; travelers requiring hands-on personal assistance must travel with a capable companion.
  • Special Needs & Dietary Restrictions: Special dietary requirements (such as vegetarian, gluten-free, or severe food allergies) must be submitted during initial online registration or updated inside the Client Portal. While G24 Tours communicates all dietary requests to our hotel, catering, and restaurant partners in advance as a courtesy, G24 Tours cannot guarantee complete fulfillment or zero cross-contamination by independent third-party vendors. Travelers with life-threatening allergies or strict medical diets are solely responsible for taking necessary personal precautions while dining abroad.

Cancellations, Refunds & Protection

  • Client Cancellations & Notice Procedures: All cancellation notices must be submitted in writing to [email protected]. Refund calculations are based on the date written notice is received relative to departure.
  • Standard Cancellation Fee Schedule: Refund calculations for individual travelers are structured as follows:
    • Early Cancellation Window (More than 150 days prior to departure): All payments made are fully refunded, minus the non-refundable initial administrative deposit (subject to vendor-specific terms).
    • Intermediate Window (Between 150 and 91 days prior to departure): Cumulative deposits (including initial and second milestone deposits where applicable) are non-refundable, as these funds are committed to supplier blocks and administrative setup. Additional payments made above these deposits will be refunded.
    • Late Window (90 days or less prior to departure): Total payments made are non-refundable to the extent of any unrecoverable supplier commitments made to hoteliers, transport providers, local guides, and other operational partners.
  • Tour Postponements & Rescheduling: When a tour or pilgrimage is postponed, our team coordinates directly with partners and participants to transition eligible funds seamlessly toward the newly scheduled departure dates, subject to vendor adjustments. Please note that existing cancellation fee terms and deposit forfeiture structures remain fully applicable based on the original departure date. Specifically, if a postponement is decided more than 90 days prior to the original departure date, the final payment deadline shifts to align with the new schedule. If the postponement occurs within the 90-day window, the final balance remains due 90 days prior to the original departure date to cover locked-in supplier commitments.
  • Cancellations & Adjustments by G24 Tours: G24 Tours reserves the right to postpone, modify, or cancel any tour departure when deemed necessary for operational protection, safety, or insufficient group participation. In the event of a postponement, all reservations and paid funds are preserved and transferred to the rescheduled departure dates. Should G24 Tours cancel a tour without rescheduling, all funds paid directly to G24 Tours will be refunded in full within 10 business days, constituting full and final settlement of all matters relating to the departure.
  • Travel Insurance & Time-Sensitive CFAR Requirements: Unforeseen medical, personal, or family emergencies can disrupt international travel. G24 Tours strongly recommends that all pilgrims purchase comprehensive third-party travel protection covering trip cancellation, interruption, emergency medical care, medical evacuation, and baggage loss.
    • Time-Sensitive Upgrades (CFAR & Pre-Existing Conditions): Travelers seeking Cancel For Any Reason (CFAR) coverage or Pre-Existing Medical Condition Waivers must purchase their policy within 14 to 21 days of their initial trip deposit (subject to insurance provider guidelines) and insure 100% of their non-refundable trip costs. CFAR coverage cannot be added as a standalone rider after this time-sensitive window expires.
    • Standard Coverage Window: Standard travel protection without CFAR can be added up until 1 day prior to departure via G24 Tours’ integrated insurance partners (such as Trawick International) or through an independent insurer.

Community Standards & Media Rights

  • Participant Conduct: Because G24 Tours curates faith-based and group travel experiences, participants are expected to maintain a respectful, courteous demeanor toward fellow travelers, clergy leaders, local guides, and host communities. G24 Tours reserves the right to conclude a participant’s journey should their behavior compromise the safety, comfort, or integrity of the group environment, noting that no refunds or financial adjustments are issued for any unused portion of the itinerary.
  • Photography & Videography: Throughout our journeys, G24 Tours occasionally captures imagery and cinematic moments that reflect the spirit of our shared experiences. These visuals may be curated for our editorial and promotional storytelling. Travelers who prefer not to be included in promotional media are kindly asked to notify our team in writing prior to departure.

Limitation of Liability & Force Majeure

  • Independent Partners & Operational Scope: G24 Tours curates extraordinary journeys by partnering with esteemed independent providers (including airlines, hoteliers, ground operators, and local guides). G24 Tours acts solely as a coordinator and assumes no operational or financial liability—including supplier default, insolvency, or any negligent or willful acts of third parties—for any direct, indirect, or consequential injury, loss, accident, delay, personal illness, baggage occurrence, property damage, or general travel irregularity arising outside our direct control.
  • Force Majeure & External Circumstances: G24 Tours is not responsible for any interruption, delay, or inability to fulfill travel arrangements caused by circumstances beyond our reasonable control. This includes acts of God, war, civil unrest, government travel restrictions, terrorism, strikes, severe weather patterns, pandemics, or any other extraordinary force majeure event. In such instances, our team works diligently to protect our travelers’ interests with care and transparency.
  • Editorial & Pricing Accuracy: G24 Tours reserves the right to correct occasional typographical oversights or pricing inaccuracies across our digital platforms and marketing materials, coordinating adjustments with affected travelers transparently.
